Duties & Responsibilities
The principal accountabilities of this position are to:
- In consultation with the Director, compile and prepare presentations, letters, and memoranda to ensure effective internal/external communication with clients.
- Manage the Directors’ dairy and the Corporate Agenda of the FIC i.e. important dates and events, briefings, travel and accommodation arrangements. Co-ordinate arrangements for internal or external meetings and compile appropriate material for meetings/conferences to facilitate the Directors’ preparation for his meaningful contribution to such meetings/conferences.
- Manage the Directors’ individual stakeholder engagements as well as the multiple engagements by inviting stakeholders on pre-set dates or as close as possible. Coordinate these engagements to ensure that the Directors’ office and subsequently the FIC maintain a positive reputation.
- Maintain a sound filing and/or record keeping system in accordance with the FIC’s filing system manual to ensure security, 2 confidentiality and efficient retrieval of documents and/or information.
- Taking minutes of Board, Management Committee Meetings and all other meetings chaired by the Director.
- Prepare Executive Presentations for the Director.
- Ensure payments of Board members are made timeously and tax returns are prepared in time. Ensure that all Board-related issues are attended to.
- Prepare the Annual budget for the Directors’ office.
- Control preparation of orders/requisitions to ensure proper handling of requisitions and constantly monitoring and reporting on budget variations on SAP system. Manage the petty cash systems in accordance with prescribed procedures.
- Handle general office administration of the office e.g. stationery, assets, stock, supplies and preparing photocopies for distribution to internal/external clients.
- Screen incoming telephone calls for the Director and, where appropriate, deal with queries and enquiries within the established guidelines or refer calls to appropriate departments or individual officers within the FIC. Also make telephone calls to alleviate pressure from the Director.
